This Privacy Policy explains how TableMap ("we", "our", "us") collects, uses, stores, and protects personal information when you use our platform and related services (collectively, the "Service"). By creating an account or using the Service, you agree to the practices described in this Policy.
Who We Are
TableMap is a trading name of ZNZ Digital Media Agency LTD, a company registered in the United Kingdom, and provides a reservation and floor-management platform for restaurants and similar venues. For the purposes of UK GDPR and EU GDPR, ZNZ Digital Media Agency LTD is the data controller for the personal information we process to run our own business — for example, your account, login, and billing details.
When you use TableMap to manage your own guests’ reservations, you are the controller of that guest data and TableMap acts as your data processor, handling it on your behalf and under your instructions.
If you have any questions about this Policy or how we handle your data, contact us at support@tablemap.com.
1. Information We Collect
We collect the following categories of information to provide and improve the Service:
1.1 Information You Provide Directly
- Account details: name, email address, password.
- Business information: venue name, address, contact details.
- Content you upload: logos, images, floor plans, descriptions, staff names.
- Reservation-related data: customer names, party size, reservation time, contact details (only if you enter them into the system).
1.2 Information Collected Automatically
- Device and browser information
- IP address and general location
- Usage data such as pages visited and actions taken within the platform
- Cookies and similar tracking technologies
1.3 Information from Third Parties
If you integrate third-party services (e.g., Stripe), we may receive relevant information required to operate the Service.
2. How We Use Your Information
We use collected data to:
- Provide and maintain the Service
- Manage reservations and floor plans
- Enable staff access and permissions
- Offer analytics and operational insights
- Improve platform performance and features
- Communicate updates, service notices, and important information
- Ensure platform security and prevent abuse
We do not sell or rent your personal information to third parties.
3. Legal Basis for Processing (UK & EU Users)
If you are located in the United Kingdom or European Union, we process personal data under the following legal bases:
- Contract necessity: To deliver the Service you signed up for
- Legitimate interest: Service improvement, security, and fraud prevention
- Consent: Cookie usage and certain marketing communications
- Legal obligation: When required by law
4. Sharing Your Information
We share information only with parties that help us operate the Service, and only to the extent necessary. Our main providers are:
- Hosting & database: Supabase (cloud hosting and database infrastructure)
- Payment processing: Stripe (subscription billing)
- Email delivery: Brevo (transactional and notification emails)
- SMS delivery: Twilio (reservation reminders and notifications)
- Law enforcement or regulators, where we are legally required to disclose information
Where a restaurant connects its own email or SMS provider, that provider processes the relevant messages instead of our defaults. These providers act as our processors (or, like Stripe, as independent controllers for payments), only receive the information necessary to perform their services, and are not permitted to use it for their own purposes. We do not sell or rent your personal information to third parties.
5. Data Retention
We retain your information for as long as your account is active. After you close your account, we may retain certain data:
- As required by law (e.g., financial records)
- For legitimate business needs (e.g., fraud prevention)
- For resolving disputes and enforcing agreements
When data is no longer needed, we delete it or anonymise it so it can no longer be linked to you.
6. Data Security
We take appropriate technical and organizational measures to protect your data, including:
- Encrypted connections (HTTPS)
- Secure password hashing
- Access controls and audit logs
- Regular security reviews
However, no system is completely secure. You use the Service at your own risk.
7. Cookies & Tracking Technologies
TableMap uses cookies and similar technologies to:
- Enable login and authentication
- Improve user experience
- Analyze usage trends
You can manage or disable cookies in your browser settings, although some features may not function properly. For full details on the cookies we use and how to control them, see our Cookie Policy.
8. Third-Party Services
The Service may contain links or integrations with third-party tools. Their privacy practices are governed by their own policies, not this one. We recommend reviewing the privacy policies of any third-party service you connect.
9. International Data Transfers
Your data may be processed in countries outside your residence, including the UK and EU. Where we transfer personal data outside the UK or EEA, we ensure appropriate safeguards are in place (such as adequacy decisions or standard contractual clauses) in line with applicable data protection laws.
10. Your Rights (UK & EU Users)
Depending on your location, you may have the right to:
- Access your personal data
- Correct inaccurate information
- Request deletion ("right to be forgotten")
- Object to certain processing activities
- Request data portability
- Withdraw consent for optional processing
- Lodge a complaint with a supervisory authority
You can exercise these rights by contacting us. To request deletion of your account and the personal data we hold about you, see our Delete account & data page.
If you are in the UK and believe we have not handled your personal data lawfully, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
11. Children’s Privacy
TableMap is a business tool that is not directed at children. We do not knowingly collect personal information from anyone under 16, and the Service is intended for use by businesses and their authorized staff.
12. Changes to This Privacy Policy
We may update this Policy occasionally. Important changes will be communicated to users. Continued use of the Service after updates constitutes acceptance of the revised Policy.
